Payment & Cancellation Policy

This Booking Policy applies to reservations made directly through the official website of Sunset House Lemnos.

By sending a booking request and confirming a reservation, you accept the terms and conditions described below.


1. Booking Process & Deposit

At this time, we do not process online card payments on our website.
To confirm a reservation, we use a bank transfer deposit.

  1. You send us a booking request with your dates and number of guests.
  2. We reply with:
    • Confirmation of availability
    • The total price for your stay
    • Our bank account details
    • The deadline for paying the deposit
  3. To confirm the reservation, you must pay a deposit of 30% of the total amount by bank transfer within the given deadline.
  4. After we receive and confirm the deposit, we send you a final booking confirmation email. Only then is your booking fully confirmed.

If the deposit is not received in time, we may release the dates and accept other bookings.

3. Remaining Balance

The remaining 70% of the total amount is payable:

  • In cash or by bank transfer on arrival, or
  • As otherwise agreed in writing with us before check-in.

Details will be confirmed in your booking confirmation email.


4. Cancellation by Guest

The following rules apply if you cancel the booking:

Up to 30 days before check-in
You may cancel your reservation. The 30% deposit is non-refundable and is kept as a cancellation fee.
Any extra amount you may have paid beyond the deposit will be refunded.

Less than 30 days before check-in, no-show, or early departure
In case of late cancellation, no-show, or early departure, the deposit is non-refundable, and additional cancellation fees may apply up to the full amount of the stay, depending on the dates and length of the reservation.

All cancellations must be sent in writing by email.


5. Changes to a Booking

If you want to change the dates or length of your stay:

  • Please contact us as soon as possible.
  • All changes are subject to availability and approval.
  • New dates may have different prices.
  • If the new dates are not available, the original cancellation rules apply.

We will always try to help, but we cannot guarantee that every change request will be accepted.


6. Special / Extenuating Circumstances

We understand that unexpected events can happen. However, as a small property we must protect both our guests and our business.

In general, the following are not automatically accepted as a reason for free cancellation or refund of the deposit:

  • Personal illness or injury
  • Change of personal plans, events, or flights
  • Transport problems (e.g. strikes, delays, cancellations)
  • Lost or invalid travel documents (passport, ID, visa)
  • General travel advisories that do not legally prohibit travel

In rare, serious situations where official government measures or major emergencies make it illegal or objectively impossible to travel to Lemnos or to stay at the property (e.g. official travel bans, evacuation orders, serious damage to the apartment), we will review the case individually and may:

  • Offer date changes, and/or
  • Offer a credit or partial refund, depending on the circumstances.

Any such decision is made at our sole discretion, based on official information and documentation.


7. Cancellation by the Property

In the extremely unlikely event that we must cancel your reservation for reasons beyond our control (for example: serious damage to the apartment, safety issues, or other force majeure events), we will:

  • Inform you as soon as reasonably possible, and
  • Refund any amounts you have already paid to us for that reservation.

We are not responsible for extra costs you may have (such as flights, ferries, transport, or other bookings).
